Effective Date: November 9, 2025

Contact: billing@vectralabs.ai

1. General

This Policy applies to all paid subscriptions to the Services offered by VectraLabs LLC. Our goal is to be transparent and fair while maintaining predictable billing for a B2B SaaS platform.

2. Trials

  • If a plan includes a free or discounted trial, you will not be charged until the trial ends.
  • If you cancel before the end of the trial, no charges apply.
  • If we process a charge after you properly canceled before trial expiry, we will refund that charge.

3. Monthly Subscriptions

  • Monthly subscriptions renew automatically each month.
  • You may cancel at any time; cancellation takes effect at the end of the current billing period.
  • We do not offer pro-rata or partial refunds for the remainder of a billing period once charged, except where required by applicable law.

4. Annual Subscriptions

  • Annual plans are billed upfront for the full term.
  • You may cancel renewal at any time; your access continues until the end of the current paid term.
  • We do not provide refunds for unused months of an active annual subscription, except where required by law or explicitly agreed in writing.

5. Upgrades & Downgrades

  • Upgrades (e.g., adding seats or features) may be charged immediately or prorated as shown at checkout.
  • When downgrading, changes apply from the next billing cycle. Fees already paid are not refunded.

6. Billing Errors

If you believe you were incorrectly charged:

  • Contact billing@vectralabs.ai within 15 days.
  • If we confirm a billing error, we will correct it, including issuing a refund where appropriate.

7. Exceptional Circumstances

VectraLabs may, at its sole discretion, issue partial or full refunds or credits in exceptional cases, including:

  • Documented, extended platform-wide outages materially impacting use,
  • Proven technical issues caused by VectraLabs preventing reasonable use of the Service.

Such accommodations are discretionary and do not create a continuing obligation.
